How has MaintainX helped streamline maintenance operations and reduce downtime for Take 5?

So we adopted MaintainX in 2021 a couple of years ago. And it really helped streamline all maintenance aspects of our business that includes IT, building and property equipment maintenance, general renovation and conversion. And that really helped reduce downtime because now we were fully tracking everything that's going on in the facilities maintenance world of our business and we get much quicker dispatch our, our folks out to issues and much better record. Um as well as it gave us an idea of some of the more ongoing issues we were having because of the reporting capability that MaintainX provides.

What were Take 5's challenges in maintenance before MaintainX? How do you manage incoming work requests now?

So prior to MaintainX, we had some real problems uh efficiently managing, you know, our, our our maintenance programs. And mostly because, you know, large company growing fast, right? Sometimes there can be multiple processes in multiple different places and you know, some down to literally tracking our maintenance by, by paper and email. And as you could all imagine, not so efficient, right? I mean, you're relying on going an email and hopefully you save it in the right folder and then you're dispatching text based off PDFs and uh you know, et cetera. And it, it just really was not very efficient. And so what MaintainX allowed us to do is like I said earlier, really improve our, our singular process of, hey, here's how we're going to report maintenance. Here's how we're going to report downtime. Here's how we're going to report our issues and here's the exact dispatch, approval flow expectation upon completion. And that really improved our maintenance and downtime.

How does Take 5 use MaintainX to manage its maintenance operations with digitized Work Orders & incoming work requests?

Having digitized work orders for maintain has tremendously helped our, our lead time and response and how we do that right now is we have a ton of custom permissions that MaintainX is completed for us to, to our liking to our request. And how that works right now is we'll have sites which are known as requesters in MaintainX for us. We'll go through and request certain work and depending on what type of work that is what area they're in due to all of our custom permissions, we have certain approval hierarchies. And so that'll go to the proper people in the proper regions where we can hold those folks accountable to approving on time, dispatching on time. And then not only that, but completing the work on our standard times. And so that's really helped us become efficient.

What were the challenges in ensuring proper procedures (such as site inspections) were done correctly before MaintainX?

Prior to MaintainX, we had some serious challenges on ensuring our proper procedures were completed on the maintenance side of things. Uh You know, we were heavily relying on paper and different Excel sheets and a lot of different things going on in a lot of different places, quite frankly and MaintainX helped us centralize all that through a function that's called a repeatable work order. And so what we use that for is our monthly preventative maintenance or what we call our Pro Five Grinch walk. And so on the back end, we can go in and ex use an extremely customizable feature, make it fit to whatever we want. Um And, and ask whatever questions you want, subsections, you name it, and we push that out monthly to our uh our maintenance tech or whoever may need to complete these, these monthly procedures and it's on a loop, right? So it automatically sends it out every month on the date we we set becomes really efficient and then reports all back into the reporting dashboard on the back end. So it really helped us become much more preventative because we can see what's going on in our sites long before we need to be reactive because something broken out, we need to go fix it. So it really helps you save cost. Obviously, makes your team much more efficient with their time as well.
