Alexa Young : Hi, I'm Alexa from Hone's Product Team and I'm here to walk you through Hone's Program Management Workflow. This workflow gives admins control over their programs allowing you to make changes and deploy programs at any time. Let's get started. The first step is to get your learners uploaded to the Hone platform along with their demographic data for reporting purposes. There are two ways to do this. The first is through uploading a CSV file under the learners tab on the top navigation bar. From here, you'll click Upload Learners. You'll be taken through instructions on how to format your CSV file and what demographic data you can include. The other option is to connect your HRIS system by navigating to the gear icon in the top right. Then HRIS integration. From there, you'll find your HRIS provider and follow the connection steps. After your learners are uploaded to Hone and you've established what programs you'll be running, it's time to Add Groups. For this example, we'll use the Program Manager Core. Since this is an established program, program statistics are already populated under groups. I can see groups that have already been created for this program and their status. Since I want to add more groups, I'll go ahead and click, Add Group from there. I'll give the group a name. I can select the class cadence. Hone's recommendation is weekly, but you can also select biweekly or custom. For this example, I'll stick with weekly since it's our recommendation. I'll go ahead and select the date and time of the first class and the rest of the class dates and times will populate based off their cadence. From there, I'll go ahead and click Create Group If I'm ready for a coach to be found, I can click Create Group and Find Coach. If I'm not ready, I can click draft and come back and edit the group at a later time before sourcing a coach. For this example, I'll go ahead and create group and find coach. If I wanted to edit a group that was in draft mode, I would navigate to the group and under More, I would have the options to edit group or delete group. If I wanted to delete the group, I could do so. If I no longer wanted to move forward with this group, if I wanted to edit the group and change the date of a class, I could do so as well. If I'm then ready to find a coach, I can click, find coach and this group will also be sourcing coaches. Now for edits or cancellations, once a group is enrolling or in progress, please contact support. Next, once a group is claimed by the coach, the status will be changed to enrolling from there. You can begin adding learners to the group. There are two options. When adding learners, we can invite or we can enroll. Inviting allows a learner to select which group works best for them. We can limit the groups that they choose to enroll in by selecting a subset of groups or we can allow them to select any group that's created now or in the future by toggling the bottom button. From there, we're prompted to enter the learners' email addresses by copy and pasting their emails. From there, I can see which group, which learners I have added. I can click Next and this is confirming that I have invited three learners to any group and I will go ahead and click Send Invites. The other option is to enroll. This is where I select a specific group for the learner and enroll them directly into the group. This does not require the learner to enroll but instead directly enrolls them into that group and sends them the calendar invitation. If the program has an assessment, you can edit the survey open and close dates by navigating to the group, clicking assessments tab and editing the start and end dates to move around any holidays or internal events. The standard is for the assessment to launch around 28 days after the last class of the program. You can also change the frequency of assessment reminders by clicking the team settings, gear icon, then email reminders and adding in additional reminders or removing reminders.
